Fats System Definitions
Definitions Screens General Features
Definition screens are generally displayed as tables on the left menu and many features explained in this section are valid for all definition screens. When you right click each definition screen, the menu for authority-limited adding record, adding template record, printing and refreshing screen records is displayed. Please note that there is no delete button. It is possible to invalidate the records in Fats 2.0. Therefore, there is no direct delete button. All transactions, deleting, adding record and changing transactions are logged in the system.
User Definitions
They are the screens for defining users who will use Fats 2.0 on the computer. Each user has a username and password. The department, roles, companies he can work with, personnel which he has authority (transaction with only the personnel accountable from the fixture can be made), authorized locations (transaction with only the fixture in these locations can be made) are also displayed in this screen.
Roles
The screens which the users can enter (or see in the menu) during working with Fats 2.0, the screens which he has authority to add, delete and change record, the screens which he can receive report, the screens which he can export data are determined with the role definitions.
User Groups
They are the definitions created for dividing the users into certain groups and to deliver a common message to all of these users.
Country / City Definitions
If there are any suppliers in different country and cities among the suppliers worked with, then the country and city definitions of these suppliers are made from these screens.
Operator Definitions
The users who can perform enumeration with hand terminal are defined in operator definition screen.
Department Definitions
They are the screens where the departments of the personnel which the fixtures are held accountable are defined. It is defined as tree structure.
In screens where definition is performed as tree structure, right click changes the menu completely.
As it can be seen, there is a subdivision only under add record menu within this menu. Add record option adds a branch at the same level with the record we have selected and a branch in one lower level can be added subdivision.
In department definition, the location to be delivered can be determined when a fixture is purchased and held accountable to a department for the first time or if it is the first entry personnel, then the person who will be held accountable is determined. We can carry the first selected record and all sub-records to a new record with the carry button on the right-hand side. The accounting code here is an area which can be used in integration with accounting or ERP packages.
Location Definitions
All floors, rooms, corridors etc., in other words all locations where the fixtures are physically located are determined in this screen with tree structure. The location barcode which will be used in enumeration is also defined in location definitions.
Personnel Definitions
Personnel are the persons which the fixtures will be held accountable in a company. The personnel definitions are also defined as tree structure. In personnel definitions, the department of the relevant personnel or physically residing locations are also determined.
Fixtures Category Definitions
Fixtures are divided into different categories. This ensures that the depreciation calculations are made with different methods in the system and the users receive report related to the fixtures in the categories they are interested with. Fixtures categories are also defined with tree structure. In fixtures categories, it is also determined whether the depreciation will be calculated for the relevant category, if calculated, then which method will be used, the benefit life of the fixture and the accounting code if integration is available. The definitions related to depreciation accounts are available in fixture card definitions as follows. The fixture card receives the first definitions from the relevant category and a change can be made for each fixture card if requested.
The first stage in fixture property definition, which is one of the most important features of Fats 2.0, is to define property in categories. The thing separating a wooden desk from an iron desk, a yellow chair from a blue chair, 2-feet table and 4-feet table is these fixture properties. The user can assign requested amount of property to fixture and receive report related to fixtures with only this property at any time. Very detailed reports such as show where all yellow, leather coated, wooden and 3-feet desks are located can be taken. It is also required to track the serial number of each fixture for computer and electronic materials. The serial numbers given by the manufacturer or the supplier can be defined as a property and maintained in the system. The properties defined in categories are reflected exactly to the fixtures.
Fixture Card Definitions
Fixture cards are defined as shown on the screen. There is a product code and explanation field for each fixture card and also the relevant category is determined. As it is mentioned above, the depreciation calculation parameters are given in fixture card. If requested, the picture and size of the fixture can also be defined in the system. There is also an accounting code field for integration.
Definitions Related to Operations
· Company definitions
Fats 2.0 can track the fixtures of more than one companies without mixing them. The company definitions are made in this screen.
· Currencies
Fixtures can be purchased with different currencies. The currencies to be used in the system are defined here.
· Fixture status
They are the definitions made for displaying and tracking different situations of fixtures.
Users can define requested amount of fixture status and they can also assign colors to understand the status of the fixtures from the colors.
Fixture Movement Type Definitions
All movements related to fixtures are displayed in this screen. Actually, this is a screen for adjusting parameter, rather than a definition screen. We can assign here that the transaction can only be realized if approved by the supervisor. If we approve any movement, then all transactions performed by the user (operational transactions related to fixtures) are brought to an approval pool. The transaction can be refused or approved and realized by a supervisor authorized for the approval pool. Fats 2.0 contains 2-step work flow with this approval pool.
A separate document can be created for any transaction performed by Fats 2.0. It would be required to print responsibility form while assigning the fixture from one person to another. It can also be parametrically determined which documents to be printed when a movement is performed in Fats 2.0. If requested, several documents can be printed when the transaction is performed. For example, upon performing the fixture entry on the above screen, it is determined to print entry form and responsibility form at the same time.
Depreciation Calculation Methods
The depreciation calculation methods which can be used in Fats 2.0 are displayed in this screen.
Reports Definitions
The reports which can be received in Fats 2.0 are displayed in this screen. Furthermore, a note can be taken to warn the other users for each document.
Suspension Reason Definitions
When the fixtures are taken out of the company/organization, this means suspension according to terminology of Fats 2.0. A fixture can be taken out of the company/organization for many reasons. They can be given as consignment, borrowing, most importantly they can break down and send for repair. They can be taken out of the company due to many reasons like them. The reasons for leaving the company are defined here.
Fixture Property Definitions
The fixture properties definitions mentioned above are made here. For example, information such as whether it is a numeric or alphanumeric value, the minimum letter/step, maximum letter/value entry, whether it is obligatory to enter this information is made from this definition screen.
Financial Leasing, Contracted Companies, Supplier and Insurance Definitions
Fixtures can be acquired through financial leasing, not only through purchasing. The financial leasing companies’ definitions can be made on these screens. Furthermore, the suppliers which the fixtures are purchased from, contracted companies and insurance companies are defined on these screens.
